Tour operator system for booking and operations

Fixed departures with hotel allotments, flights priced for each trip, branded itineraries and deposits, in one system. Fixed or tailor-made trips, sold direct or through agents, with whatever suppliers you work with.

The problem

Tour operators and DMCs, small teams or large ones, end up doing the hardest parts by hand.

  • Hotel allotments have release dates, and unsold rooms go back to the hotel if nobody notices in time.
  • Transfers and ferries don't wait: a flight that lands too late breaks the whole first day.
  • Flight prices change every day, so a quote from Monday is wrong by Friday.
  • Deposits and balances are tracked in a spreadsheet, and every reminder is written by hand.
  • Rooming lists are typed into Excel and emailed to each hotel, again after every change.

What you get

Four flows on one system: from an inquiry to a paid deposit, the whole season at a glance, the paperwork after payment and online booking on the operator's own site.

Inquiry to quote

Only departures that really fit

Two couples from Brooklyn ask for eight days in June, in two rooms. The quote builder lists the June departures and lets the agent pick only the ones with enough seats and the right rooms in every hotel on the tour.

  • A departure with seats but a single room left says it fits only two of four.
  • The finished quote goes to the client with the itinerary and a payment link, valid for 72 hours.

Flights and margin

Your margin, before the client sees a price

The client price is built from the contracted tour cost, the net flight fare and the markup on it. Before the client sees a price, the agent sees the tour margin, the flight markup and the margin of the whole quote.

  • A warning when the margin drops below the operator's floor.
  • Flights are priced for the travelers' exact dates and checked against the ferry schedule; a flight that lands too late for the ferry says why.

Itinerary

A branded itinerary in one click

One click creates a US Letter PDF itinerary from the saved price: a page for each part of the trip, with photos, ferries, hotels, flights and the payment schedule.

  • The PDF carries the client price only: no net prices, markup or margin.

Payment

What the client pays today

On the payment link the client sees what is paid today: the tour deposit plus the full flight fare, because tickets are issued at once. The balance is due 30 days before departure.

  • Before charging, the flight price is checked again. If it changed, the client sees the old and the new price and confirms.

Balance

Balance reminders that go out on their own

Each booking has its own schedule of payment reminders: seven and two days before the balance is due, on the due date and three days after. If the balance is still open, an agent gets a task.

  • Overdue balances and named groups sit at the top, under Needs attention.

Season and allotments

The whole season in one view

How full the season is, how many departures are guaranteed and which are sold out, then every departure with its travelers, status and margin. Allotment alerts sit on the same dashboard.

  • Each hotel allotment has a release date, and a warning comes before unsold rooms go back to the hotel.
  • Every chart has a table view.

Operations

Paperwork that follows from the bookings

Rooming lists for each hotel are built from the bookings, with the fields the hotel needs. Every send is a new version that shows what changed since the last one, and one click sends the update to the hotel.

  • Vouchers and ferry tickets are created two weeks before departure, for bookings paid in full.
  • The final list goes out on its own seven days before arrival.

Online booking

Online booking on the operator's own site

On the operator's website a traveler pays a deposit with monthly installments and gets a confirmation that the booking guarantees the departure. The installment schedule is shown before they pay.

  • Seats are held for 15 minutes, with a visible timer and an option to extend.
  • A booking that brings a departure to its minimum tells the traveler it guarantees the trip.

Try the tour operator

The system is shown on Aegean Thread, an example operator selling Greek island-hopping. Work the new inquiry in the Office, or switch to the Website and book the tour as a traveler. A booking on the site shows up in the Office right away.

What it takes your team to send a quote, and your travelers to book online.

  • 11steps from a new inquiry to a sent quote with a payment link
  • 5screens from choosing a departure to a confirmed online booking
  • 74 msto create the branded PDF itinerary

How we measured

We ran each flow in a browser and counted every click, entry and screen, from opening the inquiry to “Send” and from choosing a departure to the confirmation. The itinerary is a 9-page PDF, ready within this time in 19 of 20 tries. Accessibility was checked automatically on every booking screen, on a phone and on a desktop.

Measured on October 30, 2026.

How it works

  • Flight supplier
  • Ferry supplier
  • Payment processor
  • Email delivery

We connect it to your flight and ferry suppliers, your hotel contracts and your payment processor, and emails go out from your own domain. Card data never touches our servers.

Connected to your hotels and your advisors

The operator buys rooms from hotels that run our direct booking site, and sells the same tour through travel advisors in our advisor portal.

Book the tour here and the rooms appear in the hotel's allotment within 4.1 s.

How we measured

We booked the tour and timed how long it took for the rooms to show up on the hotel side.
